Meet Victor, your free AI assistant. Click the pulsing Victor button (his friendly face) in the corner of the dashboard for a plain-English helper that can run checks, check your credit balance, send applications, pull reports, and answer program and FCRA questions — just by asking. For a full tour of everything he can do, see the Victor feature page. For example:
- “Run a background check” or “Check my credit balance.”
- “Send an application to jordan@example.com.”
- “Do you search Miami-Dade county courts?” or “What sources are searched in Texas?”
- “How do I import volunteers?” or “How do I turn off Hours & grants?”
- “Turn on automated character references” or “start collecting immunization records.”
- “How do we screen international volunteers without a U.S. SSN?” or “Turn on screening without a U.S. SSN.”
- “Add a required t-shirt size dropdown to my application” — Victor edits your template for you (he can also create and rename templates).
- “Post a volunteer opportunity for Saturday food-pantry help” — he posts to the public board, lists your applicants, and invites them.
- “Update our public directory page” — About story, contact form, social links, apply button, show/hide the listing.
- “Message Jordan that orientation moved to 6pm” — secure two-way messaging with volunteers who have a portal account.
- “Approve the pending volunteer hours” or “send re-screen reminders to everyone who's due.”
- “Screen these 12 volunteers” — Victor bulk-orders and runs a background check for a whole group at once (skipping anyone already checked), after confirming the credit cost.
- “Email all our volunteers that the picnic moved to Saturday” — Victor sends a Broadcast to every active volunteer, after showing you the exact recipient count.
- “Record that Maria was already background-checked by Sterling” — Victor adds it as a credential on her profile and Compliance Roster (also for CPR, SafeSport, coaching licenses, and more).
- “Make Alex an admin” or “resend Priya's team invite” — Victor manages your team's roles and pending invitations.
- “What does the FCRA adverse-action process require?” — deep FCRA knowledge, always prefaced with a reminder that he's not an attorney.
- “A check came back with records — walk me through adverse action” — Victor explains the Compliance email workflow (pre-notice → 5 business days → final notice) and links you to the case; he cannot send notices from chat.
- “How do we recruit more volunteers?” or “How should a small nonprofit approach fundraising?” — Victor is also a nonprofit coach, with playbooks for recruitment, retention, boards, grants, youth protection, and more.
What Victor will never do
Victor is trained on our full criminal database coverage (so he can tell you which jurisdictions, source types, and states a $5 check includes) and on this entire help center — for how-to questions he answers with the steps from the relevant article, links it, and shows the screenshot.
Victor can also handle everyday admin conversationally: log volunteer hours, invite a colleague (as Admin or Member), set the custom invite message, explain credit packages and our Credits Never Expire Guarantee, and he'll ask your name and remember it. He can also hand you a shareable application link with a QR code and printable flyer, take a logo upload for your invites and applications, adjust your screening settings — including turning on the free extras like automated character references and immunization records (he explains the benefit, confirms, and flips it on), and screening without a U.S. SSN for foreign nationals currently in the U.S. (he explains that a U.S. SSN is still required for U.S. citizens who have one, confirms, and flips the setting on) — edit your application template from a plain-language request (add, rename, reorder, or remove questions; he protects the locked FCRA fields), read your compliance roster, and generate any of 30+ ready-made nonprofit policy documents (code of conduct, child protection, anti-harassment, conflict of interest, whistleblower, data privacy, social media, and many more) — or have him author a custom policy on any topic you name — each auto-branded with your logo and downloadable as a PDF or Word file right in the chat. (Entering card details to buy credits still happens on the secure Billing screen.)
He's also screen-aware: when you're viewing a volunteer, just ask “what does this check show?”, “what county is he in?”, or “explain the reviewer notes” and he'll answer about that exact volunteer and their latest background check — no need to repeat their name. He can also manage that volunteer for you: add an internal note, edit their contact details, or archive them — Victor confirms before archiving or editing. And you can attach files (up to 5, every file virus-scanned) to a volunteer's background check using the paperclip in the chat.
Victor keeps up with the rest of the dashboard, too. He can set your default application template, nudge a volunteer who hasn't finished applying, reactivate an archived volunteer (or take one off the active roster), add a billing contact so your treasurer gets the receipts, hand a volunteer a private link to log their own hours, work your public-directory “I want to volunteer here” waitlist (see who raised their hand and invite them), and rename your organization or update its description and mission. He can also point you to Grants, Reports, Integrations, Refer & Earn, and the Reply Assistant when they fit. As always, anything that spends a credit, emails a group, or changes a setting shows you a confirmation first.
Victor's controls
Victor follows the same guardrails as the rest of the platform — he never asks for an SSN in chat (standard checks collect SSNs only in the secure application or Run background check drawer; no-SSN checks use name, DOB, and U.S. address instead). On a result with records he explains the FCRA steps and points you to Compliance or the adverse-action drawer to send pre-adverse and final notices by email — he does not tell you to reject someone or generate notices in chat.
Once in a while, after a back-and-forth, Victor may ask how the chat went with a quick 1–5 star rating. It's optional and takes one tap — your feedback helps us make Victor more helpful.
