A Network is an umbrella organization with one or more member organizations. It is designed for groups such as a recreation council with separate sports: leaders can oversee the group while each sport keeps its own team, roster, screening workflow, settings, and billing.
The Network overview
When a network Owner or Admin signs in with the network active, they land on the Network overview at Dashboard → Network instead of a volunteer list. Each member organization gets one card showing its name and logo, its Owner (or earliest Admin) as the direct contact, active volunteers, checks in flight, its credit balance, and green / yellow / red compliance counts calculated with that organization's own warning window.
The overview is a status rollup: it does not show any volunteer names, background-check results, CRA detail, or adverse-action reasons. Those stay inside the member organization. Click Open on a card to switch into that organization and work there exactly as its own admins do.
- A network with nothing attached yet reads No member organizations yet.
- A member organization on a support hold still appears, marked on hold, and cannot be opened through network access.
- A closed member organization is not listed at all.
- If the network itself is put on hold or closed, the overview says so in place — member organizations are unaffected and their own admins sign in normally.
- The organization switcher groups member organizations under the network name; standalone organizations stay flat. Inside a network the switcher's create action reads Add member organization.
- While you are inside a member organization through the network, a banner reads Flag Football · Summit Youth Network. Its Back to the network button switches you back to the network and returns you to the overview.
Network Reports
Eligible network Owners and Admins can open Dashboard → Network Reports or click View reports on the Network overview. The workspace has six views: Executive overview, Compliance, Screening pipeline, Volunteers, credentials & training, Hours & impact, and Credits & screening spend.
Filters apply to the summary cards, trend charts, the detail table, and CSV export together. You can select one or more member organizations; choose Last 30 days, Last 90 days, Year to date, a Custom range, or All time; search volunteer name or email on people views; compare by member organization or network total; and apply each report's status filters. The current view is stored in the page address, so refresh, browser back/forward, and a link shared with another authorized network leader restore the same view. Tables are sorted and paged on the server with 25, 50, or 100 rows per page. Export ignores the current page and writes every row that matches those exact filters and sort.
On All time, totals and rows are all-time, while charts are limited to the trailing 365 days so the trend stays readable. On Screening pipeline, the chart counts invitations on the invite date, submissions on the submit date, and completed checks on the completion date — including standalone direct checks that never had an invitation. Every row's Open in action validates and switches to the member organization before opening its source record. A member organization that is closed, detached, or on hold is unavailable.
Each tab has Export filtered CSV. Executive overview also has Export report pack: a ZIP with six filter-matched CSVs plus filters.json and README.txt. Files expire after 7 days. Larger exports (more than 10,000 matched rows) prepare in the background and toast when the private download is ready.
| Export | Fields included |
|---|---|
| Executive overview | Member organization, volunteers, currently serving, compliance green/yellow/red, checks completed, verified hours, screening credits used, credits available. |
| Compliance | Member organization, volunteer name/email, volunteer status, serving active, compliance light, latest check completed, rescreen due, next credential expiration, training state. |
| Screening pipeline | Member organization, applicant or volunteer, email, pipeline stage, invitation channel, invited/submitted/ordered/completed dates, turnaround hours. |
| Volunteers, credentials & training | Member organization, volunteer name/email, status, serving active, created date, credential count, next credential expiration, training assigned/completed/approved. |
| Hours & impact | Member organization, program name, volunteer name, entry date, hours, status, entry method. |
| Credits & screening spend | Member organization, occurred at, transaction type, credits, amount (cents), description. |
Network Reports use privacy-safe status, dates, counts, volunteer name/email where needed to identify a row, program names, hours, and credit-ledger fields. They never show SSNs, dates of birth, addresses, payment-card details, CRA result or narrative, report files, reviewer notes, or adverse-action reasons. Open the member organization for the full authorized record. These exports are operational rollups, not a replacement for a child organization's FCRA audit export or full CRA report.
Who can open a member organization?
A network Owner or Admin receives inherited Admin access to each current member organization. A direct member Owner remains the Owner; inherited access does not transfer ownership or add a shadow person to the member organization's team.
- Network accounts have Owners and Admins only. Coordinators are not available on the network itself.
- Network leaders must use 2FA, complete leader identity verification, and accept the current network-access terms before inherited access is available.
- Attaching immediately enforces network MFA for the member organization's entire direct team. Anyone without a verified MFA factor is held at Settings → Security until enrollment is complete. The effective policy is network MFA or the member organization's own MFA requirement, so the less strict setting cannot override the stricter one.
- Member-organization admins remain limited to their own organization and cannot see sibling organizations. Their Settings → Team tab lists the network's Owners and Admins under Network admins (via Summit Youth Network) so the access is disclosed — read-only, with no remove or role control. Appearing on that list is a disclosure, not a guarantee: only network leaders who currently hold 2FA, verified identity, and the current network terms can actually open the organization.
What changes when an organization joins?
The organization is attached in place. Its volunteers, applications, checks, reports, direct team, settings, application links, credit history, and Stripe customer stay with that same organization. Membership records are not rewritten, but effective access does change: attaching applies the network's required MFA policy immediately. Detaching removes inherited network access and the parent-imposed MFA requirement; the member organization's own MFA policy still applies.
Credits and billing remain separate
Every member organization keeps and spends its own credits. A network shows those balances side by side on the Network overview for oversight, but credits remain separate and are not a shared pool. Buying or using credits while a member organization is active affects only that member organization; buying while the network itself is active buys for the network's own balance.
Add or invite a member organization
A direct network Owner who has completed 2FA, identity verification, and the current network-access terms can add members from Dashboard → Network:
- Add member organization creates a new standard organization attached to the network. The creating Owner becomes the direct child Owner. Address starts from the network and is editable. An optional admin email is invited as Admin only — never Owner. The new organization starts with 0 credits, no Stripe customer, and the default Youth & Children application. Volunteers are never copied from the network.
- Invite existing organization emails a 7-day join request to that organization's Owners. The request stays active if at least one Owner receives the email; it is cleared only when every delivery fails or no Owner email is on file. Only one pending request can exist per network and child pair; you can send another after it expires or is declined. The email includes a one-time accept link. VolunteerBadge stores only a hash of that token.
- The child Owner opens the link, sees the named network leaders, and must acknowledge that those people may use this organization's screening data for the same permissible purpose already certified here. Accept attaches the organization in place. Decline leaves it standalone. The decision is recorded immediately even if network Owners cannot be emailed.
- Detach removes the network relationship only. Volunteers, credits, and the Stripe customer stay with the organization. Network leaders lose inherited access immediately. Reattachment requires a new accepted join request or a platform attach.
Creating the network itself, or attaching without a child-Owner accept, remains a platform-admin path with documented customer authorization. Email support@screenforgelabs.com if you need that.
