Camp director toolkit (free Excel workbooks)

Nine free branded Excel workbooks for camp directors — accreditation documentation tracker, staff certification expiry tracker, camper-to-staff ratio planner, seasonal hiring pipeline, cabin assignment planner, season budget, health center and medication log, incident and injury log, and transportation and trip roster.

Camps run on spreadsheets somebody built in 2019, or on software that costs thousands a season. These nine workbooks cover the jobs directors actually lose evenings to. The nine workbooks

  • Accreditation Documentation Tracker — every standard with an owner, a file location, a review date and a status, plus a fifteen-document evidence binder starter list and a countdown to your site visit.
  • Staff Certification Tracker — one row per certification rather than per person, because most camp staff hold several. Days-to-expiry and a status that colours itself Expired, Expiring soon or Current as dates pass.
  • Camper-to-Staff Ratio Planner — your ratios by age group and by activity, checked against every group individually. A camp-wide average can look fine while one cabin is badly short.
  • Seasonal Hiring Pipeline — seven gates from application to season-ready, reporting the furthest gate actually passed so nobody arrives half-cleared.
  • Cabin Assignment Planner — cabins count their own occupancy, beds-left goes red on over-capacity, and the buddy column verifies whether a requested friend actually landed in the same cabin.
  • Season Budget — camp line items including seasonal wages and payroll burden, food service per camper-day, accreditation fees, and general liability, accident medical and abuse coverage as three separate lines.
  • Health Center Log & Medication Record — medications on file with the parent authorization tracked per camper, an administration record where every dose is initialed (including doses deliberately not given, and why), and a visit log. The summary counts authorizations still missing, campers sent home and times emergency services were called.
  • Incident & Injury Log — one row per incident with the activity picked from a list, so the season review can break incidents down by where they happen. Near misses get their own type, because a camp recording none of them is not safer, only less honest with itself.
  • Transportation & Trip Roster — driver status computes itself: nobody is cleared until the driving record and the background check are both recorded and the license has not expired. Trips pull rider counts from the roster automatically, and the headcount column compares the count out against the count back.

Every workbook carries its own disclaimer

Each download ends with a Terms & Disclaimer tab, and the health, incident and transportation workbooks repeat the relevant warning on the sheets themselves. These are record-keeping templates, not legal, medical, insurance or compliance advice, and using one does not guarantee compliance with any law, regulation, accreditation standard or insurer requirement. One thing the accreditation tracker deliberately does not do

It gives you the structure of a documentation review and never reproduces the standards themselves. Those belong to the accrediting body, the wording changes, and a stale copy of somebody else’s standards is worse than none when you are sitting across from a visitor. Enter your own standard numbers from your current materials.

Where screening fits

Background checks sit in the certification tracker alongside lifeguard and CPR cards, and they expire the same way — a check is only current on the day it ran.
