Periods, who is assigned, and who is free and already cleared to substitute.

A period is a block in the day. A class belongs to one period. You can note an age band and how many adults the room was planned for. The age band describes the class. It does not name a child. The room note does not hold anyone out and it does not take a payment. The same adult cannot be planned or already served in that period twice, so they cannot sit in two classes in that period. A missed block does not keep the seat. An adult who is not cleared can still be assigned. The page says so when the role expects a check, and when no role is chosen. A role that does not expect a check does not add that note. The note does not change their screening status. The assignment stays for that session.

The volunteer's record lists each school assignment: the period, the class, the role, and whether it is planned, served, missed, or covered. The not cleared note appears only when the role expects a check, or when no role is chosen, and the block is still planned or served. Opening the record does not run a check.

Under each period, the page lists adults who are free and already cleared. That is the substitute list. Someone already teaching in the period is left off it. Mark an assignment served when the block is done. That served block counts toward a blocks or credits expectation. An hours expectation still uses the hours log.

Download schedule is one row per class: the period, the adults in that class, the age band, and the room note. An adult on the period who is not in a class stays on the page and is not in the file. Paste a schedule reads the Classes sheet. Grades, room names, enrolled counts, and seats left are left out. A grade is not stored as an age band. Capacity is only the room note.

A family can ask someone to cover a planned block. When the role expects a check, or no role is chosen, only a free adult who is already cleared can be asked. When the role does not expect a check, a free adult can be asked even if they are not cleared. Asking does not run a check, and accepting does not clear anyone. The email lets that adult accept or decline. Accepting marks the original block covered by someone else, and that covered line stays on the schedule. Hours are added only when the family entered a number, and that number waits for approval. A missed block is a note on the family. It is not a charge.

A baby or nursery duty only offers adults the co-op marked for those blocks. The mark is not a certification. Asking still does not run a check.
